What to expect: A guide to managing shifts with Instawork

After you post a shift

Once you’ve posted your shift, a few things will happen:

Instawork notifies qualified workers about your shift

After you post a shift, Instawork matches your shift with workers in your area who meet your qualifications and sends them a notification. Qualified workers will also see the shift in their app.



Available workers pick up your shift

Available workers can then select your shift. Unlike traditional staffing agencies that assign workers to shifts, Instawork empowers workers to choose their shifts and build their own schedule. This unique approach leads to more engaged and dependable workers, which is how we are able to achieve industry-high fill rates and quality.

Workers appear on your dashboard as they pick up your shift

As workers pick up your shift, you’ll see their profiles appear in the dashboard. Depending on where you are located, the pricing you set, and how soon your shift is starting, your shift could be filled as soon as one hour or up to 48 hours later. The more you use the platform, the more you'll learn how long it takes to fill your shifts.

Note, it’s normal to see some changes in Pros during this time, and even up until the start of your shift since Pros can change their schedules. Last minute changes don’t happen often as Pros are penalized for canceling a shift within 24 hours of the start time.

Prepare for your shift

Review your shift details page

When you click on your shift in the dashboard, it will bring you to the shift details. Here you’ll find tools to edit your shift details, review worker profiles, prepare your clock-in/out procedures, and troubleshoot issues that may arise. Learn more.

24 hours before your shift

Right before your shift starts, we confirm the shift details with the assigned Pros one more time, and we unlock access to the Pros’ contact information so you can connect with them directly.

  • Instawork confirms the shift with the assigned Pros

    We send a notification to the Pros, or Instawork Pros, who have picked up your shift 24 hours before your shift starts. If a Pro doesn’t confirm their availability, they’re removed from the shift, and Instawork immediately sends notifications to other qualified workers in the area to fill any gaps. Because of this, you may see changes in the Pros in the shift group.

  • View Pro contact information

    Prior to a shift, you can contact Pros in the shift group via Announcements on your Shift Details page, but 24 hours before a shift, you’ll also get access to the contact information for the Pros who signed up for your shift. This helps you coordinate any last-minute details directly.

  • Check if you have paid back-up workers assigned
    To ensure your staffing needs are met, Instawork may add paid back-up Pros to your shift. These are “just in case” workers to step in if you need extra hands. If you do not need these Pros, send them home, and Instawork will compensate the Pros as a courtesy. If you do choose to use the back-up Pros, then you’ll be responsible for the hourly billed rate of hours worked. Learn more.

90 minutes before the shift

It’s almost time! You should be prepared for your shift, and now you can see when Pros will arrive onsite.

  • Pros enable location tracking
    Instawork Pros enable location tracking on their mobile device 90 minutes before a shift starts. This lets you see where they are and when they’ll arrive onsite. Make sure you download the Instawork Business app to view this information on-the-go. Download the app.

During your shift

Once Pros arrive, in addition to welcoming them, showing them around, and reminding them of their shift responsibilities, you’ll need to clock them in. When the shift is complete, you’ll also clock them out in a similar fashion.

Clock-in workers

Pros will meet at the pin you specified in your shift details. When they arrive, they should ask you for the clock-in code. You can find the 4 digit clock-in code on your Shift Details page. Do not give them the clock out code yet. You can also manually clock-in Pros using the Instawork business app. Learn more.

Clock-out workers

At the end of your shift, you will clock out Pros similarly to how you clocked them in. The 4-digit clock-out code can be found next to the clock-in code on your Shift Details page. Give Instawork Pros the clock-out code only when it’s time for them to clock out of the shift. You can also manually clock out Pros using the Instawork business app. Learn more.

After your shift

Congrats! Your shift is over. Once your shift is complete, there are only two other things to check off your list:

Submit feedback

After the shift is over, you’ll be prompted to rate and provide feedback on the Pros. Ratings help us determine who you want to work with again, and providing feedback helps us match your future shifts with Pros who have the experience and professional traits you like. You should also add Pros you’d want to work with again to your Roster to give them first access to future shifts or even request to work with them directly. Learn more.

Edit timesheets before Monday

Instawork follows a Tuesday-Monday billing cycle, so you should review the hours for each Pro and indicate if someone was sent home or didn’t show up before 11:59 pm the following Monday after your shift. Instawork makes it easy to review and edit timesheets. Learn more.
